Privacy policy

TimeThis helps contractors turn crew time into payroll files and job cost reports. This policy explains what information we handle to do that, why, and the choices you have.
Who this policy covers
This policy applies to the TimeThis website and app at timeth.is. It covers two kinds of information:
- Account information about the people who sign in to TimeThis, such as office staff and payroll contacts. For this information, TimeThis decides how it is used.
- Customer data that a company uploads or enters about its workforce and jobs. The company that owns the account controls this data, and we process it on their behalf and on their instructions.
If you work for a company that uses TimeThis and have a question about your hours or pay records, please contact your employer first. We will help them respond.
Information we collect
Account information
- Your name, work email address, and the company you create or join.
- If you choose Google sign-in, the name and email address on your Google account. We do not receive your Google password.
- Your role in each company, the invites you send, and settings you save.
Customer data
- Employee details such as names, employee numbers, trades, departments, pay rates, pay types and workers' compensation classes.
- Time records such as dates, hours, job numbers, earning types, approvals and notes.
- Job lists, payroll settings, and the files you upload, including daily sheets, rosters and payroll registers that show wages and employer taxes.
- Files and reports TimeThis creates for you, such as payroll export files and job costing reports.
TimeThis does not need Social Security numbers, bank account numbers or tax IDs to work. Please remove them from files before you upload.
Technical information
- Basic request logs kept by our hosting provider, such as IP address, browser type, pages requested and timestamps.
- Email delivery information, such as whether a sign-in code or invite was delivered.
- The essential cookies described in our Cookie policy. We do not use advertising or analytics cookies.
How we use information
- To run TimeThis: import files, match names, total hours and overtime, build payroll files and job cost reports.
- To sign you in and keep accounts secure, including sending one-time sign-in codes.
- To send service emails, such as invites and notices that a payroll file is ready.
- To provide support, fix problems and improve the product.
- To bill for paid plans, when they are active.
- To meet legal obligations and enforce our Terms of use.
We do not sell personal information, share it for advertising, or use customer data for any purpose other than providing TimeThis to that customer.
How information is shared
- Inside your company. People you invite to your company, including your payroll contact, can see the data their role allows.
- With service providers who help us run TimeThis, under contracts that limit how they can use the data. They are listed below.
- For legal reasons, when required by law or to protect the rights, safety or property of our customers, TimeThis or others.
- In a business transfer, such as a merger or sale, in which case this policy would continue to apply to the information transferred.

How long we keep information
We keep customer data for as long as the company's account is open, so its history and reports stay available. When an account is closed, we delete its customer data within 30 days, and it clears from our backups within a further 30 days. We may keep limited records longer where the law requires, such as billing records.
Security
We protect information with encryption, private file storage and access controls. Our Security page has the details.
Your choices and rights
You can update your name in the app at any time. Company owners can edit or remove employee records and export their data. Depending on where you live, you may also have the right to access, correct, delete or receive a copy of your personal information, and to object to certain uses. To make a request, email support@timeth.is. We will verify the request and respond within the time the law requires. We will not treat you differently for using these rights.
Children
TimeThis is a business tool and is not meant for anyone under 18. We do not knowingly collect information from children.
Where information is stored
TimeThis and its service providers store and process information in the United States.
Changes to this policy
If we make material changes, we will update the date at the top of this page and let account owners know by email or in the app before the changes take effect.
